This Privacy Policy explains how AgriFarm ("we", "us", "our") collects, uses, shares and protects information when you visit our website, request a demo, contact us, create an account, or use the FarmXO farm management workspace (together, the "Service").
1. Information we collect
Information you give us
- Account details: your name, email address, farm name and password when you register. Passwords are stored only as a one-way hash; we never store or see your password in plain text.
- Contact and demo requests: your name, email, and optionally your phone number, company or farm name, country, farm size, number of users, preferred demo date and your message.
- Billing records: the plan you buy, amount, currency, billing period and the PayPal order and transaction references. Payments are handled by PayPal; we do not receive or store your card or bank details.
- Farm data: everything you or your team enter into FarmXO, such as farms, fields and their map locations or boundaries, crops, activities, tasks, inventory, machinery, irrigation, harvests, sales, purchases, expenses, suppliers, uploaded documents, and records about your employees (for example names, contact details and attendance).
Information collected automatically
- Session cookies that keep you signed in and protect forms. See our Cookie Policy.
- Security and audit records: inside FarmXO we log which user created, changed or deleted a record, when, and from which IP address. We also record your last sign-in time.
- Server logs: our hosting servers keep standard request logs (IP address, browser type, pages requested and time) for security and troubleshooting.
We do not use analytics, advertising or tracking cookies, and we do not build marketing profiles of visitors.
2. How we use information
- To create and run your account and provide the features of your plan.
- To process payments, apply plan periods, issue invoices and handle billing questions or refunds.
- To reply to contact messages and schedule and run demos you request.
- To keep the Service secure, prevent abuse (for example by limiting repeated form submissions) and investigate problems.
- To send you service messages, such as notices about your account, plan expiry or changes to these policies.
- To comply with legal, tax and accounting obligations.
We use your information because it is needed to provide the Service you asked for, because we have a legitimate interest in running a secure and reliable product, because the law requires it, or, where needed, because you consented.
3. Your farm data
Farm data you enter belongs to you. We process it only to provide the Service to you and do not sell it, use it for advertising, or share it with other customers. If you enter information about other people, such as employees, you are responsible for having the right to do so and for telling them how it will be used.
4. How we share information
We do not sell personal information. We share it only with:
- PayPal, to take payments. PayPal processes your payment details under its own privacy policy.
- Weather data provider: when you use the Weather feature, we send your farm's latitude and longitude (never your name or email) to our weather provider to fetch local conditions.
- Hosting and infrastructure providers that store and serve the Service on our behalf under confidentiality obligations.
- Content and map services: pages load fonts from Google Fonts, code libraries from jsDelivr and unpkg, and map tiles from OpenStreetMap. Your browser contacts these services directly, which shares your IP address and browser details with them.
- Authorities or other parties when required by law, to protect our rights or the safety of users, or as part of a merger, acquisition or sale of assets, in which case this policy will continue to apply to your information.
5. How long we keep information
- Account and farm data are kept while your account is active. When you ask us to delete your account, we delete or anonymise it within 30 days, apart from what we must keep by law.
- Billing and invoice records are kept for as long as tax and accounting laws require.
- Contact messages and demo requests are kept for as long as needed to handle your request and any follow-up, and then deleted.
- Audit and server logs are kept only as long as needed for security and troubleshooting.
6. Security
We protect information with measures such as hashed passwords, encrypted (HTTPS) connections, protection against cross-site request forgery, role-based access inside FarmXO, and limited staff access. No system is completely secure, so please use a strong, unique password and tell us right away if you suspect unauthorised access to your account.
7. Your rights
Depending on where you live, you may have the right to access, correct, export or delete your personal information, to object to or restrict certain uses, and to withdraw consent you have given. You can update most account details yourself, and export reports from within FarmXO on plans that include it. For anything else, email us at hello@agrifarm.example. We will reply within 30 days and may need to verify your identity first. You also have the right to complain to your local data protection authority.
8. International transfers
Our servers and service providers may be located outside your country. When information is transferred internationally, we take steps to make sure it stays protected as described in this policy.
9. Children
The Service is intended for farm businesses and is not directed at anyone under 18. We do not knowingly collect personal information from children. If you believe a child has given us information, contact us and we will delete it.
10. Changes to this policy
We may update this policy from time to time. We will change the "Last updated" date above and, for significant changes, tell account holders by email or in the Service before the changes take effect.
